Overview

The Help Desk page is used to search and view employee details quickly by selecting an employee or providing key identifiers such as UAN, ESI, Aadhaar, or Bank Account number.

This page is mainly used by Admin and Super Admin users for:

  • Employee verification
  • Issue resolution
  • Compliance-related lookups
  • Quick reference during support or audit activities

Access Control

  • Accessible By: Admin, Super Admin
  • Restricted For: Regular users (based on role configuration)

Purpose of Help Desk

The Help Desk page allows administrators to:

  • Search employees using multiple identifiers
  • Auto-fill employee details after selection
  • Verify statutory details like PF, ESI, Aadhaar
  • Quickly resolve employee-related queries

Help Desk Search Form

The page consists of a single search form used to fetch employee details.


1. Employee

  • Field Type: Dropdown with search
  • Placeholder: Search employees...
  • Description:
    Select an employee from the list.
  • Behavior:
    Once selected, employee-related fields are auto-populated.

2. Employee Name

  • Field Type: Read-only text
  • Auto-filled: Yes
  • Description:
    Displays the full name of the selected employee.
  • Editable: No

3. UAN No

  • Field Type: Text
  • Description:
    Enter the employee’s Universal Account Number (PF).
  • Optional Field

4. Bank Account Number

  • Field Type: Text
  • Description:
    Used to search employee records by bank account.
  • Optional Field

5. ESI No

  • Field Type: Text
  • Description:
    Search using Employee State Insurance number.
  • Optional Field

6. Aadhaar No

  • Field Type: Text
  • Description:
    Search employee details using Aadhaar number.
  • Optional Field

Search Actions

Search

  • Fetches employee details based on:
    • Selected employee
    • OR entered identifiers (UAN / ESI / Aadhaar / Bank Account)
  • Displays verified employee data after successful lookup

Reset

  • Clears all input fields
  • Resets the form to initial state

Data Fetching Logic

  • Employee selection takes highest priority
  • If employee is not selected:
    • System checks identifiers in the following order:
      1. UAN Number
      2. ESI Number
      3. Aadhaar Number
      4. Bank Account Number
  • Matching employee details are displayed once found

Validation Rules

  • At least one search input must be provided
  • Employee Name is always read-only
  • Numeric validation applied to:
    • UAN
    • ESI
    • Aadhaar
    • Bank Account Number

Security & Privacy

  • Sensitive data is read-only
  • No edit or delete operations allowed
  • Access is restricted by role permissions
  • All searches are logged in System Logs
